Galakiwi Terms and Conditions
THE CONTRACT: All persons wishing to make a booking must sign this Booking Terms and Conditions form. All such persons (hereafter called the client) will be bound by the conditions, which follow. If a signed Booking Terms and Conditions form is not received, payment of the deposit represents acceptance of the following conditions.

PAYMENT: The booking form must be completed and signed by all clients wishing to travel. All forms should then be sent to GALAKIWI with a deposit stipulated on the invoice. Acceptance of the client's reservation must be confirmed in writing which is when a contract comes into existence. Balance of the tour is due for payment 60 days prior to departure date. Any bank charges are the responsibility of the client. Please check with you bank for transfer fees. Payment by credit card may incur extra charges. Paying via international money transfer is the most cost effective form of payment.

CANCELLATION BY THE CLIENT: Any cancellation by a client must be made in writing. The date on which the email is received by GALAKIWI will determine the cancellation charges applicable. The cancellation charges below are a percentage of the total tour price, excluding insurance. You are strongly advised to take out cancellation insurance at time of reservation.

A. Cancellation 61 days or more before departure date: Transferrable Deposit
B. Cancellation 60-31 days before departure date: Loss of 50% of total tour price
C. Cancelation 30 days or less before departure date: Loss of 100% of total tour price

UNUSED SERVICES: There will be no refunds for unused services.

CANCELLATION OF TOUR BY GALAKIWI: GALAKIWI reserves the right to cancel a tour for any reason, but will not cancel a tour less than 8 weeks before departure except for unusual or unforeseen circumstances outside GALAKIWI’s control. When a tour is cancelled the client may choose between a refund of all monies paid or any alternative tour offered in lieu by GALAKIWI.

FLEXIBILITY: The client appreciates and acknowledges that the nature of this type of travel requires considerable flexibility and should allow for alternatives. It is understood that the route, schedules, itineraries, amenities and mode of transport may be subject to alteration without prior notice due to local circumstances or events, which may include sickness or mechanical breakdown, flight cancellations, strikes, events emanating from political disputes, entry or border difficulties, climate and other unpredictable or unforeseeable circumstances.

CHANGES: GALAKIWI reserves the right to change any of the facilities, services or prices described before a reservation is made. If such a change is made the client will be told at time of reservation. The client is able to make a change to a confirmed booking arrangement only if more than 60 days before departure. Extra costs incurred will be charged.

IF PREVENTED FROM TRAVELING: Cancelation charges listed above are applicable regardless of the circumstance. You are strongly advised to take out cancellation insurance at time of reservation that cover unforeseen circumstances.

ACCEPTANCE OF RISK: The client acknowledges that the nature of the tour is adventurous and that such holidays may involve a significant amount of personal risk.

CLIENTS RESPONSIBILITY: It is the clients responsibility to let us know before booking whether they have any special requirements, limited mobility or medical conditions that might affect their ability to take part on our tours. A reasonable level of fitness is required and if in doubt of the suitability of our tours please just ask us. If there are any medical concerns it is the clients responsibility to seek confirmation from their doctor prior to booking the trip. You may be asked to complete a medical form or produce a doctor's certificate prior to travel.

ITINERARIES: All itineraries are a guide only and are subject to alteration on occurrence of any unpredictable conditions and circumstances, which may arise in this delightfully chaotic continent. Any changes do not have to be notified until the trip briefing before the tour.

AUTHORITY ON TOUR: At all times the decision of GALAKIWI’s Tour Leader will be final on all matters likely to endanger the safety and well being of the tour. Should the client fail to comply with the laws, customs, foreign exchange and drug regulations of all countries visited, the Tour Leader may order the client to leave the tour without any refund.

TRAVEL DOCUMENTS: The client must be in possession of a valid passport and all visas, permits and certificates including vaccination certificates. It is ultimately the responsibility of the client to ensure they have the necessary documentation.

FACTORS OUTSIDE GALAKIWI’S CONTROL: GALAKIWI cannot accept any liability for matters outside its control such as political disputes, border closures, refusal of visas, industrial action, delayed flights, and unforeseeable climate conditions which may prevent the itinerary being followed.

INSURANCE: The client is willing to accept full responsibility for insurance which must cover personal accident, medical expenses, loss of effects, repatriations costs and all other expenses which might arise as a result of loss, damage, injury, delay or inconvenience occurring to the client. It is compulsory that all clients have personal travel insurance.

LOCAL CONDITIONS: Due to political and cultural differences, as well as generally tougher physical conditions, travel to the areas we visit involves risks other than those we take in our daily lives. It is important clients make themselves aware of the risks involved. Travel in Third World countries is different to travel at home.

RESPONSIBILITY: All services herein are organized by GALAKIWI. Notice is hereby given that all arrangements made on behalf of customers are made by organizers on the sole condition that the organizers shall not be held responsible for any injury, death, accident, delay, loss, damage or irregularity. GALAKIWI acts as an agent for transport companies, hotels and other contractors and shall not be held liable for any injury, damage, loss, delay or irregularity that may occur.

CLAIMS AND COMPLAINTS: If a client has a complaint against GALAKIWI, they must first inform their Tour Leader whilst on the tour so that they can attempt to rectify the matter. Any further complaint must be put in writing to GALAKIWI within 30 days of the end of the tour.

AIRLINES: The contents of this document do not commit the airlines mentioned therein, or any airline whose services are used in the course of any tour. The responsibility of the airlines is limited to the carriage of passengers and baggage in accordance with their conditions of carriage. The client cannot cancel the contract without penalty in the event of a change of aircraft operator, aircraft type or destination.

PRICES AND SURCHARGES: GALAKIWI reserve the right to impose surcharges (or price decreases) up to 8 weeks before departure due to unfavourable changes in exchange rates, increases in air fares or other transport costs, taxes, or if government action should require us to do so.

PRICES: All prices shown are subject to currency fluctuations and airline increases. Please check when booking for current prices. All prices in USD.

MARKETING ACCEPTANCE: The client agrees to allow GALAKIWI to use any photos or videos taken of them while on tour. GALAKIWI may use this content for promotional and marketing purposes. The client agrees this content may be used in any medium GALAKIWI chooses (both online and in print) and grants GALAKIWI an unconditional royalty-free, worldwide license for use of this content.

PRIVACY POLICY: Any information collected about the client may be used by GALAKIWI to effectively operate the tour or communicate special offers and marketing efforts directly with the client. Such information may also be disclosed to service providers, as well as agents and partners involved in operating the tour.
